What it does

A salesperson types in a contact after a trade fair, a partner drops a list in, a CRM form creates a person: the agent rings them within a minute or two. Nothing to set up on the CRM side. The agent uses the same HubSpot or Pipedrive connection you use to save calls, and checks for new contacts every minute. Everything that applies to website form leads applies here too: calling hours, skipping repeats, and a queue when outbound channels are busy (Lead callback).

Switching it on

  1. Integrations → connect HubSpot or Pipedrive (API key, the same one used to save calls to the CRM).
  2. Agent editor → Integrations → Lead sources → turn on New contact in your CRM and pick the connection.
  3. Save the agent.
The agent only rings contacts added after you switch this on. Contacts already in the CRM get no call.

What reaches the call

The phone number is HubSpot’s Phone number, or Mobile phone number when that is empty, and Pipedrive’s primary number. A contact without a number is skipped.

Contacts the agent creates

If the agent also writes its calls to the same CRM, a call with a new caller creates a contact (HubSpot) or a person (Pipedrive) for them. The agent does not call those contacts back: we remember which contacts the platform created, and on top of that skip any contact whose number spoke to your company in the last two hours. In Pipedrive the person is looked up by phone number first (the last nine digits are compared, however the number was typed). A regular caller is updated instead of being added as another person after every call.

Limits

  • Each contact gets at most one call, even if someone edits it later.
  • If the server was down for a while, the agent catches up on contacts from the last two hours. Older ones are skipped: a call hours after the contact appeared is more of a nuisance than a help.
  • Needs a plan with CRM integrations (Business) and outbound calls.
